2023 Session Chairs & Speakers

Below are a few notes about what’s next and an overview of your session. We’ve been asked about wifi during sessions and, as noted below, with the large number of users on the hotel’s wifi during the conference, wifi is not always reliable and may not be reliable during your session.

What’s Next

Session abstract. The first preliminary program information is on the conference website. Your original session description will be on the website, but we will be updating the website regularly so please send your changes to your Coordinator as soon as they are available.  Please note that the program on the website is updated as a whole and not with individual changes, so your changes may not appear immediately.

Speaker bios and photos.  Please submit the bios and pictures of all session speakers here as soon as possible. For sample bios, check out a sample here. Bios and pictures will also be featured on the website and in the mobile app.

Conference registration.  All speakers will need to register for the conference. Those who are not AMIA members, and who are attending and speaking at the Conference for the first time, may receive a complimentary one day registration.

Book your hotel room. If you haven’t reserved your room, the discount rate on the rooms is good only until October.

Session Overview

All session slots are 60 minutes. This will allow for up to 50 minutes of presentation time plus 10 minutes of Q&A. Sessions cannot exceed their time slots because the next session will be setting up during the break . Techs need to work with session chairs to set up each room, so if your session goes over time,  they may not be able to set up for the next session in time.

There are two 30 minute sessions assigned per slot. Each 30 minute session will allow for 20 minutes of presentation plus 5 minutes of Q&A.  Please do not go over your 30 minutes since it reduces the time the next speaker has for their report. Session times can’t be extended.

Each session room will have a tech assigned to help with set up. There will be a tech available to help set up the session and ensure your computer is connected properly. The tech will not be in the room during your session.

Each session room will have a volunteer. The volunteer is available to dim lights or pass handouts. They are also able to contact staff or a tech if needed.

Session rooms do not have laptops provided. Each session room will have a projector, screen, and sound for your presentation, but a laptop is not included. We encourage you to combine the full panel presentation on a single laptop for the smoothest presentation.

Accessibility. To help us all to effectively engage with each other in this diverse community, we offer these practical recommendations for creating accessible presentations. As you prepare your presentation, whether for a conference or symposium session, a workshop, a webinar, or an online discussion, we urge you to reflect on the diversity of the audience, and how to address the inclusions and exclusions that may exist in the audience.

Using the internet/wifi during presentations. During the conference there are a large number of users on the hotel’s wifi and, as a result, wifi may not be reliable during your session. Please do not rely on a solid wifi connection for your presentation. If your presentation includes any content from the internet we STRONGLY encourage you to have backup ready so that your presentation doesn’t rely on your wifi connection.

Information will be sent to the Chair and all speakers. We want to be sure that everyone has the information as soon as we receive it.
